Guest count guarantee

A guest count guarantee is the headcount a client confirms by an agreed deadline before the event, and the number the event is billed from regardless of how many guests actually arrive. Additions after the deadline are usually accepted at a higher rate, if they can be accepted at all.

Also called: final headcount, guaranteed count, final count deadline.

Why it matters to a small caterer

This is the single term that decides whose problem a shrinking guest list is. Without a guarantee, a client who invited a hundred and had seventy show up expects to pay for seventy, while you shopped, prepped, staffed and cooked for a hundred. With a guarantee and a stated deadline, the food you bought is the food that was ordered, and the conversation is short.

It cuts both ways, which is what makes it fair rather than defensive. The deadline exists because your shopping and prep have to start somewhere; before it, the client can move the number freely. Set the deadline where your ordering actually happens, usually somewhere between three days and two weeks out depending on the size of the job and how much of the menu is special-ordered.

Put it in writing, in two places

On the quote, so the client agrees to it when they agree to the price, and on the event order, so the confirmed number and the date it was confirmed are recorded where the kitchen reads them. A guarantee that lives only in a phone call is not a guarantee.

Say what happens to late additions. A stated rush rate for guests added after the deadline is far easier than an argument, and it prices the reality: a late add means a second shopping trip, a second prep run, or a substitution.

Cook for the guarantee, plus a little

Standard practice is to prepare somewhat above the guaranteed number so the line never runs empty in front of a client. Running out costs the relationship; a modest overage costs ingredients. Decide your buffer, apply it consistently, and price it in rather than absorbing it quietly every time.
