Day-of coordinator

A day-of coordinator is a planner a client hires to run the event on the day itself: the run of show, the vendor arrivals, the cues, and the timeline. They typically join weeks before rather than planning the event from scratch, which is what a full-service planner does.

Why it matters to a small caterer
The distinction a caterer needs is about who owns what. The coordinator owns the room and the schedule: when doors open, when speeches happen, when the room flips. The caterer owns the food, the service timeline that has to fit inside that schedule, and the staff serving it. A coordinator who knows the food timeline and a caterer who knows the run of show produce an event where dinner is not served during the toasts.
The more expensive case is the event with no coordinator, which is most small events. Someone still has to make the decisions, and on the day it is usually whoever looks the most in charge, which is usually the caterer. That is unpaid work with real liability attached, and it is fair to price it or to decline it, as long as you decide which before the event rather than at it.
Say what you do and do not do
Write the boundary on the event order in plain language: what your team sets, serves and clears, and what belongs to the client or their coordinator. Cake cutting, guest seating, gift tables, vendor meals and the room flip are the usual grey zones, and every one of them is easier to settle in writing a week out than to negotiate at six o’clock with a room waiting.
When a client has no coordinator and clearly needs one, saying so early is a service to them and to you. It is also a good relationship to have with a local coordinator, since referrals in that direction come back.
